How PayPal Payouts Work
PayPal is the most widely used payout method for affiliate programs due to its global availability and instant delivery. Here is how Refgrow's PayPal payout integration works end-to-end.
Step 1: Connect your PayPal Business account
In your Refgrow project settings, add your PayPal API credentials. Refgrow supports both sandbox (for testing) and production environments. You need a PayPal Business account with the Payouts API enabled — this is different from standard PayPal Send Money and allows batch processing.
Step 2: Commissions accumulate
As your payment processor webhooks fire and Refgrow calculates commissions, each affiliate's balance grows. The affiliate can see their pending balance in real time through the embedded dashboard widget. Commissions go through an approval period (configurable, typically 30-60 days) to account for refunds and chargebacks before becoming eligible for payout.
Step 3: Payout threshold reached
When an affiliate's approved balance reaches the minimum payout threshold (e.g., $50), the amount becomes eligible for payout. Refgrow aggregates all eligible payouts and presents them in your admin dashboard as a batch ready for review.
Step 4: Review and approve
You review the pending payout batch: affiliate names, amounts, payout methods. You can approve the entire batch or individual payouts. This review step prevents unauthorized payouts and gives you a chance to catch any anomalies.
Step 5: PayPal processes the batch
When you approve, Refgrow sends the payout batch to PayPal's Payouts API. PayPal processes each payment individually and sends funds to each affiliate's PayPal email. The affiliate receives the money immediately (subject to PayPal's own processing). Refgrow updates the payout status in real time.
Step 6: Affiliate sees the payout
The affiliate sees the payout reflected in their dashboard with the amount, date, and method. Their pending balance is reduced by the payout amount. A history of all past payouts is available in the affiliate's dashboard.

Wise (formerly TransferWise) is an excellent payout option for international affiliates who want to receive funds directly in their bank account with low fees and competitive exchange rates.
Why Wise over PayPal?
- Lower fees: Wise charges 0.3-1.5% for international transfers vs PayPal's 2-5% fee on cross-border transactions
- Better exchange rates: Wise uses the mid-market rate with transparent fees, while PayPal adds a 2-4% markup on currency conversion
- Direct to bank: Funds go directly to the affiliate's bank account — no need for the affiliate to have a PayPal account

Wise payout flow
The Wise payout flow mirrors PayPal: commissions accumulate, reach the threshold, appear in your review queue, and get processed in bulk. The key difference is delivery time — Wise bank transfers typically take 1-3 business days depending on the destination country, compared to PayPal's near-instant delivery.
Refgrow connects to Wise's API to create and process transfer batches. You configure your Wise API key in your project settings, and Refgrow handles the rest: creating quotes, funding transfers, and tracking delivery status.
Payout Configuration Options
Refgrow provides several configuration options to match your program's payout policies.
Minimum payout threshold
Set the minimum balance required before an affiliate can receive a payout. Common thresholds:
- $25-50: Best for programs with many small affiliates. Lower threshold reduces the time affiliates wait for their first payment, improving trust and motivation.
- $100: Standard for established programs. Reduces the number of individual transactions and associated fees.
- $250+: For enterprise programs with high-value affiliates. Keeps transaction costs proportional to payout amounts.
Commission approval period
The approval period (also called the lock period or hold period) is the time between when a commission is earned and when it becomes eligible for payout. This protects you against refunds, chargebacks, and fraud.
- 30 days: Standard for most SaaS products. Covers the typical refund window.
- 60 days: Conservative, suitable for high-ticket products or industries with longer return policies.
- 14 days: Aggressive, suitable for low-risk products with rare refunds. Gets affiliates paid faster, improving motivation.
Payout frequency
You control when payouts are processed. Options range from manual (you decide when to run a batch) to scheduled (automatic processing on a set schedule):
- Monthly: Most common. Process all eligible payouts on the 1st or 15th of each month.
- Bi-weekly: More frequent payouts keep affiliates motivated and engaged.
- On-demand: Process payouts whenever you choose. Good for small programs or when you want maximum control.
Multi-currency support
If your product charges in multiple currencies, Refgrow tracks commissions in the original payment currency. Payouts can be made in the affiliate's preferred currency with conversion handled by PayPal or Wise at the time of payout.
Self-Billing Invoices
In many jurisdictions, paying affiliates requires proper invoicing for tax and accounting purposes. Refgrow supports self-billing invoices (also called recipient-created tax invoices), where you generate the invoice on behalf of the affiliate.
How self-billing works
Instead of requiring each affiliate to send you an invoice before payment (which creates friction and delays), you generate the invoice yourself as the paying party. The invoice documents the commission amount, payout date, affiliate details, and tax information. This is legally accepted in most jurisdictions when both parties agree to the self-billing arrangement.

- Invoice number and date
- Itemized commission amounts by conversion

Self-billing invoices are generated automatically when a payout is processed and are available for download in both the admin dashboard and the affiliate's dashboard. This keeps your accounting clean and gives affiliates the documentation they need for their own tax reporting.
Frequently Asked Questions
Does Refgrow charge a fee on top of PayPal or Wise fees?
No. Refgrow does not add any markup to payout transactions. You pay only the standard PayPal or Wise transaction fees. PayPal Payouts API fees are typically $0.25 per domestic payment and 2% (capped at $20) for international payments. Wise fees vary by corridor but are generally 0.3-1.5% of the transfer amount.
What happens if a PayPal payout fails?
If a PayPal payout fails (invalid email, account restrictions, etc.), Refgrow marks the payout as failed and returns the amount to the affiliate's pending balance. You are notified of the failure and can work with the affiliate to resolve the issue — typically an incorrect PayPal email. The affiliate can update their PayPal email in their dashboard, and you can retry the payout.
Can affiliates choose between PayPal and Wise?
Yes. Each affiliate sets their preferred payout method in their profile. Some may prefer PayPal for instant delivery, while others prefer Wise for lower fees on international transfers. Refgrow respects each affiliate's preference when processing batch payouts, sending each payment through the correct provider.
How do refunds affect affiliate payouts?
When a customer refunds within the commission approval period, the pending commission is automatically reversed. If the commission has already been paid out (because the refund happened after the approval period), the refund amount is deducted from the affiliate's future commissions. Refgrow handles this automatically — you do not need to manually claw back payments.
Do I need a PayPal Business account for payouts?
Yes. PayPal's Payouts API (which enables batch payments) is only available to Business accounts. A standard PayPal personal account does not support programmatic payouts. You can upgrade your existing PayPal account to Business for free, or create a new Business account at paypal.com/business.
